Onze accountants niet vooruitstrevend?

Tijdens de gesprekken die ik dagelijks met onze klanten, lees: accountants, voer over de visie van Twinfield met betrekking tot de introductie van XBRL constateer ik dat iedereen bereid is om de nodige voorbereidingen te treffen. Vaak zie ik dat men verder kijkt dan enkel de mogelijkheid om een digitaal rapport voor de uitvragende partij te genereren. Voor velen is het moment aangebroken om de complete werkorganisatie eens onder de loep te nemen. Gedurende dit proces wordt het huidige landschap van de in gebruik zijnde software niet overgeslagen.

Investeren
Vaak wordt mij gevraagd of er geïnvesteerd moet worden in offline rapportagesoftware. Vaak is dit een vervangingsvraag, maar soms zelfs een initiële. Hiermee gaan vaak enorme kosten gepaard: de investering van de software, het opnieuw implementeren, het volgen van trainingen en niet te vergeten het aanpassen van de infrastructuur. En dan hebben we het nog niet eens over de afschrijvingstermijn gehad, die zeker door de huidige ontwikkelingen wordt ingehaald. Gezien het feit dat de ontwikkeling van webapplicaties -zoals Twinfield- dusdanig snel gaat ben ik ervan overtuigd dat het slechts een kwestie van tijd is dat deze functionaliteit wordt geïntegreerd in webbased oplossingen als Twinfield.

Vormt dit dan een bedreiging voor de huidige leveranciers van rapportagepakketten? Op hele korte termijn nog niet. Echter, alle rapportagepakketten missen één belangrijk element: de bron. Momenteel is het exportbestand van een administratiepakket de bron voor het rapportagepakket. Een enorm probleem, en ik spreek uit ervaring, is altijd om de gemaakte voorafgaande journaalposten weer in de administratie te krijgen. Geconcludeerd mag worden dat de jaarrekeningen grotendeels niet aansluiten met de administratie die elders wordt gevoerd. Feit is dat de administratie de bron is voor het samenstellen van de jaarrekening. Dat was al jaren zo en dat zal zeker in de toekomst zo blijven.

Wat gaat er dan veranderen?
Vast staat dat de wijze van rapporteren verder in de tijd enkel via het web zal gaan plaatsvinden, direct gekoppeld met en geïntegreerd aan de bron. Als voorbeeld noem ik Groot-Brittannië. Per 1 april is het daar verplicht om door middel van iXBRL gegevens aan de uitvragende partijen te verstrekken. De rapporten die wij hier op papier produceren worden daar vervangen door HTML-documenten waarbij -net zoals in Twinfield- het mogelijk is om vanuit het hoogste niveau binnen het rapport helemaal door te klikken naar de uiteindelijke boeking.

Waar gaat dit nu naartoe?
Goede vraag. Had ik maar een tijdmachine, want ik ben erg benieuwd. Veel van de klanten die ik spreek zijn nu hun visie op hun eigen werkzaamheden opnieuw aan het ontwikkelen. Men is zich bewust van de gevolgen die dit heeft voor de gehele werkorganisatie, die -vaak tot op heden- op oude (offline) software is gebaseerd. Samengevat, het bewustzijn is aanwezig, nu de visie ontwikkelen en er aan vasthouden.

Een ander onderwerp dat ik iedere keer bespreek is de voorbereidingen die nu al kunnen worden gerealiseerd. Belangrijkste in dit geheel is standaardisatie van de administraties. Zonder standaardisatie is het onmogelijk om efficiënt te kunnen werken. Iedereen is hiervan overtuigd en gaat dan ook direct aan de slag met het optimaliseren van de standaard rekeningschema’s die worden gebruikt bij het aanmaken van nieuwe administraties. Deze nieuwe administraties zullen dan ook keurig in de pas lopen maar een aantal bestaande administraties uiteraard niet. Dit kunnen administraties zijn –vanuit een oud systeem- naar Twinfield zijn geconverteerd. Ook kunnen grootboekrekeningen om allerlei redenen zijn toegevoegd. Deze administraties zijn dus door wildgroei afwijkend ten opzichte van de standaard-administratie. Twinfield heeft hiervoor een oplossing bedacht waardoor alle administraties op één lijn met de standaard administratie kunnen worden gebracht. Door het hanteren van standaardisatie maakt u een enorme sprong in het efficiënt werken en bespaart u veel geld. Neem hierover contact op met uw accountmanager, hij kan u verder informeren.

Naast het standaardiseren van de inrichting van de administraties adviseer ik u ook om in het bezit te komen van een PKI-overheidscertificaat. Dit certificaat kunt u meermalen voor uw bundel aan softwarepakketten inzetten. Voorwaarde is wel dat het pakket waarin het certificaat is geïnstalleerd het certificaat kan exporteren. Een aantal relaties heeft bijvoorbeeld om diverse redenen meer dan één omgeving binnen Twinfield. Voor iedere omgeving dient een certificaat te worden geïnstalleerd. Na installatie kan vanuit de eerste omgeving een nieuw certificaat voor de volgende omgeving worden geëxporteerd en ga zo maar door.

Binnen afzienbare tijd is het mogelijk om via Twinfield bijvoorbeeld alle BTW-aangiften in XBRL via Digipoort naar de Belastingdienst te sturen. Voorwaarde is wel dat u een PKI-overheidscertificaat hebt geïnstalleerd. Mij bereiken berichten dat de doorlooptijd van het aanvragen van de PKI-overheidscertificaten soms wat tegenvalt en ik wil u daarom via deze weg hierop wijzen.

Iedere dag weer zie ik vol plezier en vertrouwen de gesprekken met onze relaties tegemoet want ik bevind me in een wereld, zowel extern als intern, die volop positief aan het veranderen is.
